Booking Your Corporate Holiday Party Early
Here's a secret every event planner knows: the companies with the best holiday parties started planning in the summer. It feels early, but the calendar math is unforgiving, and a little foresight is the difference between the venue you wanted and the one that was still available.
Why the best dates disappear by late summer
The end-of-year window is narrow. Most holiday parties land on a handful of Fridays and Saturdays in early-to-mid December, and every other company in town is eyeing the same dates. Premier venues, caterers, and entertainment are often fully booked months out.
If you want a December date, the time to book is July or August.
What to lock in first
- Venue and date: everything else builds around this
- Catering: the best teams book early and cap the number of events per night
- Entertainment or AV: bands, DJs, and production crews go fast in December
- Photography: especially if you want professional coverage for marketing
Build a headcount buffer
Corporate attendance is notoriously hard to predict. We typically plan for a realistic RSVP range rather than a single number, and choose venues that can flex comfortably. It's far easier to scale a confirmed space than to scramble for a bigger one in November.
Make it feel intentional, not obligatory
The parties people actually look forward to have a point of view: a theme, a standout food moment, a thoughtful touch that says the company values its team. Booking early gives you the runway to design that experience instead of defaulting to whatever's left.
Thinking ahead to this year's celebration? Let's start while the calendar is still open.
